Privacy policy and description of data file

- Lawful basis for and purpose of personal data processing
The purpose of personal data processing is contact with our customers and targeting marketing.
- Content of the data file
Data which is recorded on the data file includes: the person’s name, position, company/organisation, contact details (telephone number, e-mail address, postal address), website addresses, IP address, information about ordered services and changes to them, invoicing information, and other information relating to the customer relationship and ordered services.
- Regular sources of data
Data which is recorded on the data file is obtained from the customer from e.g. messages sent via online contact forms, e-mails, telephone calls, social media services, contracts, customer meetings and other situations in which the customer discloses their data. Data may also be collected from the population data register, from the population information system, from the business information system (YTJ), from Suomen Asiakastieto Oy, and from other public sources.
- Regular disclosure of data and data transfer outside of the EU or EEA
Data is primarily not disclosed outside of Simetek Works Oy, unless disclosure is required by Finnish authorities. Data can be transferred to Simetek Works Oy’s partners in cooperation, service providers or subcontractors in accordance with the purpose of the data file.
Data is not disclosed outside of European Union or the European Economic Area.
- Principles of data file protection
Due care will be taken when processing the data file, and data that is processed using information systems will be appropriately protected. When data file data is stored on Internet servers, the physical and digital data security of the equipment will be appropriately ensured. The controller will ensure that the stored data, user rights to the servers, and other information that is critical to the security of personal data are processed confidentially and only by those employees whose job description involves personal data processing.
We may also partly outsource data processing to a third party, whereupon we will guarantee via contractual arrangements that data is processed only in accordance with data protection legislation and otherwise appropriately.
- Right to access personal data and to request rectification
Every person on the data file has the right to access the data about themselves that has been recorded on the data file and to request the rectification of inaccurate or incomplete personal data. If the data subject wishes to access their data or have it rectified, a request should be sent in writing to the controller. If necessary, the controller can request the person submitting the rectification request to provide personal ID to verify their identity. The controller will respond to the customer within the time outlined in the EU’s General Data Protection Regulation (primarily within one month).
- Other rights relating to the processing of personal data
A person on the data file has the right to request that their personal data is erased from the data files (“the right to be forgotten”). The data subject also has other rights as set out in the EU’s General Data Protection Regulation, such as restricting personal data processing in certain situations. All requests must be submitted in writing to the controller. If necessary, the controller can request the person submitting the rectification request to provide personal ID to verify their identity. The controller will respond to the customer within the time outlined in the EU’s General Data Protection Regulation (primarily within one month).

Simetek Works Oy grants the right to use its website on condition that the user accepts the terms outlined in this document. The terms of use apply to the website only and do not enable communications or contracts between the user and Simetek Works. If you are uncertain about what is and is not permitted, please contact our customer services. By using the website and its services, you agree to these terms of use.
User rights
The website is owned by Simetek Works Oy. Website refers to the webpages and their text content and forms, applications, code, and some images. The images and content that Simetek Works Oy does not own, but to which it has the right to use, are the property of Simetek Works’ partners in cooperation and subcontractors, or the property of the content’s and images’ licence holders.
The distribution, duplication, and saving of the content of the website in part or in full for commercial use is prohibited without the written consent of Simetek Works, excluding the exceptions outlined in this document. The user may save, copy, or print the content of the website for their own use, but not for commercial use. The user must ensure that such content is not distributed forwards without permission from the copyright owner.
The user does not have the right to use the website for the purpose of looking for data security vulnerabilities or to take advantage of such vulnerabilities. If the user does so deliberately or accidentally, Simetek Works has the right to begin legal proceedings to claim reimbursement for any damages caused.
Marks, names and logos
Simetek Works’ trademarks, logos, product and brand markings or adaptations thereof shown on the website are the property of Simetek Works. Their use and/or alteration is prohibited unless Simetek Works Oy or the owner of the rights has given their permission to do so. Other product and company marks that appear on the website may be their owners’ trademarks, the use of which is prohibited without permission from the owner of the rights.
The right to make changes
Simetek Works retains the right to make changes to its website and these terms of use without separate notice. By continuing to use the website and related services after the publication of a new version of the policy, you will be considered to have approved the changes to the terms of use.
Information disclosed by the user
By sending data or files via our website, the user confirms that the sent material is not illegal and that the required cautionary measures have been undertaken before sending to make sure that the material does not contain viruses or any other damaging content. The user must ensure that the information and material sent is the user’s property such that the user has full rights to send the information and material to Simetek Works. When sending data to Simetek Works, the user provides Simetek Works with the right to save the information on various information systems and to use the information free of charge in a manner it deems appropriate and, if necessary, to disclose the material to its partners in cooperation for use.
All traffic arriving on the website is saved in visitor tracking systems. The users’ personal data (name, address, date of birth and other equivalent data) is not automatically collected without separate permission from the user. Visitor tracking stores the user’s IP address. In cases of misuse, this IP address may be disclosed to the authorities for further procedures.
Cookie policy
Simetek Works’ website may collect data on the behaviour of visitors to its website. Information about the visitor’s computer or other terminal device may be collected using cookies and other equivalent technology.
It is not possible to identify individual visitors from the cookies used, nor is their purpose to collect personal data. Cookies and other equivalent technology do not damage the visitor’s terminal device or files. They cannot be used to spread viruses, nor do they make it possible to inspect the data on the visitor’s device.
Simetek Works’ website may use social media functions with content displayed directly from the service in question. Social media applications may collect data on website visitors in accordance with their valid terms and conditions. Third parties’ terms of use may deviate from Simetek Works’ terms of use.
If the visitor does not want Simetek Works or its partners in cooperation to target advertising or content based on internet behaviour, the visitor can block this by blocking the cookies in question in their browser settings.
Legality of notification
Finnish law will be applied to the use of the website and matters concerning the terms of use.
